The short version
Clubpost works on your phone. You don't need an account, and there are no ads, no analytics and no tracking.
If you sign in and use Pro backup, we store your team, squad and fixtures in the EU so you can restore them. Scores, match events, player cards and the graphics you make never leave your phone.
You choose whether each player's photo can be used, and you can delete everything at any time.
Who we are
Clubpost ("the app", "we", "us") is made by TapMax Apps, an independent developer in the United Kingdom. For any privacy question or request, email tapmaxapps@gmail.com.
For your own account, we are the data controller. For the information you enter about your players (names, shirt numbers, positions and photos), your club or you as the coach decide what to record and why. We process it on your behalf, only to provide the app to you.
What stays on your phone
Everything you create is stored in the app on your device. This includes:
- your team details: name, short name, age group, kit, colours, crest, home ground, sponsor logos and graphics font;
- your squad: player names, shirt numbers, positions, photos, and each player's photo consent and initials-only settings;
- opponents, fixtures, line-ups and Player of the Match picks;
- match details you add for graphics: scores, goals, assists, cards, substitutions, Player of the Match stats and postponement details;
- player cards, and the images you add to graphics and cards.
Scores and match events, player cards and the graphics you make are never sent to our servers. Saving a graphic puts it in your phone's photo library, and sharing it sends it only where you choose.
Removing the background from a player photo is done on your phone. The photo is not sent anywhere to do this.
Optional account (sign in with Apple or Google)
Signing in is optional and free. If you sign in, we receive from Apple or Google an account identifier, your email address (or an Apple private relay address if you choose to hide your email) and, if provided, your name. We use this to create your account, keep you signed in and restore your data.
Your account also stores your choice about marketing emails (see below) and your Pro subscription status, so it can follow your account.
Backup and sync (Clubpost Pro)
When you're signed in with an active Pro subscription, the app backs up the following so you can restore it on another device:
| Backed up | Never backed up |
|---|---|
| Team details, crest and up to three sponsor logos | Scores, goals, assists, cards and substitutions |
| Players: name, shirt number, position, photo consent and initials-only settings | Player of the Match stats and postponement details |
| Player photos, only for players whose photo consent is switched on | Player cards and the images on them |
| Opponents and their crests; fixtures (date, time, venue, competition, home or away); line-ups; Player of the Match picks | The graphics you make, and photos you add only to a graphic |
Images are scaled down to a maximum of 3 MB before upload. Each signed-in user can only access their own teams. This is enforced on our servers, and images are only available through short-lived private links.
Purchases
Subscriptions are sold and billed by Apple (App Store) or Google (Google Play). We never see your card details. We use RevenueCat to check whether you have an active subscription and to restore purchases. RevenueCat receives an anonymous app user ID (or your Clubpost account ID if you're signed in), your purchase history for Clubpost, and basic device information such as the platform and app version.
Marketing emails
We only send you emails about new templates, features and offers if you switch on "Email me tips and offers" in Settings. You can switch it off at any time there, or by using the unsubscribe link in any email. We record when you opted in or out.
What we don't do
- No advertising, and no advertising identifiers.
- No analytics or tracking tools, and no cross-app tracking.
- We don't sell or rent personal information, or share it for advertising.
- We don't use your players' information or photos to train AI models.
Children and young players
Clubpost is for coaches, managers and club volunteers. It is not designed for children to use themselves, and you need to be 16 or over to create an account.
Many teams using Clubpost are youth teams, so the information you add may be about children. When you add players, you are responsible for having permission to record their details and use their photos: from the player, or from a parent or guardian for players under 18, in line with your club's and league's safeguarding and photography policies. To help, Clubpost lets you:
- switch off "Photo can be shown" for any player, so graphics use their kit instead and their photo is never uploaded;
- show initials instead of a full name on graphics;
- delete a player, and their photo, at any time.
Where your data is stored, and who helps us
| Provider | What for | Location |
|---|---|---|
| Supabase | Accounts, and the database used for backup and sync | EU (Ireland) |
| Cloudflare | Backed-up images (crests, sponsor logos, player photos) and this website | Images are stored in the EU |
| RevenueCat | Subscription status and restoring purchases | United States |
| Apple and Google | Sign-in, app distribution and payments | Worldwide |
These providers process data only on our instructions and under data processing agreements. Where data is transferred outside the UK or EU (for example to RevenueCat in the US), it is protected by approved safeguards such as the UK International Data Transfer Addendum and the EU Standard Contractual Clauses.
Our legal reasons for using your data
- To provide the app and your subscription: your account, backup, sync and purchases (contract).
- To keep the service secure and working: preventing abuse and fixing problems (legitimate interests).
- Marketing emails: only with your consent, which you can withdraw at any time.
- Player information: processed on behalf of the coach or club that added it, who is responsible for having a lawful basis, such as consent from parents or guardians.
How long we keep it
- On your phone: until you delete it in the app, or uninstall the app.
- Backed-up data: while your account exists. If you delete a player, opponent or team, it is deleted from your backup, including their images, the next time the app syncs.
- When you delete your account: your account, backed-up teams and their images are deleted straight away. Encrypted server backups are kept by our providers for a short period (normally up to 30 days) before they're overwritten.
- Purchase records: kept by Apple, Google and RevenueCat as required for tax and accounting.
Deleting your account
In the app, go to Settings → Delete account and type "confirm". This deletes your account, every team you own (with its squad, fixtures, line-ups and awards) and their images from our servers, then clears the app on that phone. Teams shared with other members are kept for them, and only your membership is removed.
If you can't get into the app, see how to request account deletion. Deleting your account does not cancel a subscription. Cancel it in your App Store or Google Play settings.
Your rights
Under UK and EU data protection law you can ask to access, correct, delete or export your personal data, and to restrict or object to how we use it. Email tapmaxapps@gmail.com and we'll reply within one month. We may need to confirm the request comes from the account owner.
If a parent or guardian wants information about a child removed, please contact the team's coach or club first. They can edit or delete it in the app straight away. You can also contact us.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk) or your local data protection authority.
Security
Data is encrypted in transit (HTTPS) and at rest with our providers. Access to backed-up data is restricted to the signed-in owner by server-side rules. No system is perfectly secure, but we work to protect your information and will tell you and the regulator about any serious breach as the law requires.
Changes to this policy
If we change this policy, we'll update the date at the top. If the changes are significant, we'll also let you know in the app.
